Community Room Rental Agreement
Looking for a space to host your next meeting, training, or community event? NACD offers our Community Room for rent to partners and organizations at a rate of $100 per hour.
Please review the general rental policies below before submitting your request. We ask all renters to respect the space and follow guidelines to ensure a clean, safe, and welcoming environment for all.

General Policies
All items rented from outside vendors must be removed at the conclusion of the Event unless agreed upon ahead of time by NACD.
NACD is not responsible for lost or stolen property, equipment, or rental items from outside vendors.
Event set-up and take down need to be planned within the allotted rental time. If additional set-up time is needed before the day of the Event, it must be approved and coordinated with NACD. Lessee shall be charged for set-up and tear down time.
Lessee is responsible for clean-up of the Event space. All tables and chairs must be cleared of Event decorations and trash. Garbage is to be placed in the trash receptacles.
Parking is limited to lot spaces available. If additional parking is required, it must be communicated in advance to NACD. Parking on grass areas is not permitted. The parking lot and/or grounds are only to be used for their intended purpose, unless the parking lot is space for the Event agreed upon by NACD prior to the Event.
Smoking is not allowed inside NACD buildings. Drug use is prohibited on NACD grounds.
All decorations must be temporary, not cause property damage, and must be removed at the conclusion of the Event. Use of nails and/or tacks is not permitted.
Noise levels must be maintained at an acceptable level.
Events conducted during NACD business hours (Monday - Thursday 9am-5pm, Friday 9am-12pm) must not interfere with regular business of NACD.
Lessee assumes responsibility that all guests attending this event will only occupy the designated space provided by NACD.
All Lessees for Events of 100 guests or more shall provide a Certificate of General Liability Insurance with a minimum policy of $1 million per occurrence. The Certificate of Insurance must name Northside Association for Community Development as an additional insured. The certificate must be provided to NACD a minimum of 5 business days prior to the Event.
A nonrefundable damage charge will be issued after the conclusion of the Event if any of the following conditions occur. An invoice will be issued for any damage based upon the severity.
Changes have been made to the grounds, building, furniture, or equipment.
The Event space is damaged or littered with trash & debris.
Any equipment or rental items provided by NACD are not returned and/or not returned
in the same condition.
If catering is being provided at this Event, please see the attached Catered Food Service Addendum.
Lessee agrees to indemnify, defend, and hold NACD harmless, their Board of Directors, and employees from any and all liability and/or claims for property damage and/or bodily injury to anyone or anything that arises from, or is caused by, actions or omissions take out of, or is in any way connected or associated with this Event.
NACD reserves the right to cancel any Event whose activities interfere with the safety and security of the grounds, and/or NACD Board of Directors, NACD Staff, and Event guests.
Catered Food Service Addendum
Only Caterers with current ServSafe certification will be allowed to provide services.
Lessee is responsible for informing the Caterer that the Caterer is responsible for the cleanup of food and service areas of use; including but not limited to sinks, counters, appliances, and floor.
The following appliances are not permitted to be used at this Event: oven/stove, flaptop, and fryer. Any use will be considered a damage and the Lessee will be invoiced accordingly.
Grills and other appliances that produce a flame must be approved by NACD prior to the Event.
The use of Sterno for warming is acceptable.
Lessee must make arrangements with Caterer to verify which supplies the Caterer will provide and which supplies need to be brought in by the Lessee. This includes, but is not limited to serving ware, napkins, plates, utensils, food, and non-alcoholic drink. NACD is not responsible for any items related to catering unless agreed upon by NACD.
All Caterers must possess a Certificate of Insurance to be allowed to cater food during the Event.
Failure to abide by the terms of this addendum shall result in the cancellation of the Event and no refund shall be issued.
